1 · Overview

The DMS Outlook Plugin integrates Microsoft Outlook with your Document Management System (DMS), showing whether an e-mail is already stored in DMS and providing one-click access to the relevant case. Unlike the legacy VSTO add-in, the new plugin runs on Windows, macOS, Outlook on the Web, and Outlook Mobile.

Email Status Visualisation

Shows the DMS save state of the currently selected message in a responsive task-pane panel.

Built-in settings page for DMS hostname and optional Patricia Browser address; settings roam with the user’s mailbox.

Works on Outlook for Windows (2016 or later), Outlook for Mac and, Outlook on the Web (OWA).

Enhanced Links

Direct “Open in Patricia Browser” link when a Patricia Browser URL is configured.

Resilient Networking

HTTPS fetch with configurable time-out and retry logic; informative error messages.

3 · User Experience

  • Open & Pin the Pane – Click the plugin icon in the ribbon (desktop) or the ⋯ menu (web). In Outlook for Windows you can press Pin to keep it docked; Outlook on the Web requires opening each time.
  • Status Indicators – A coloured badge and textual state tell you whether the e-mail is stored in DMS, missing, or in error.
  • Settings Gear – Top-right gear icon opens the configuration page. Changes are saved instantly to Office roaming settings.
  • Patricia Browser Linking – If Patricia Browser is configured, the panel displays a View Case link that opens the case in a new browser tab.

4 · Configuration

  1. Open the pane and click the Settings icon.
  2. Enter the DMS Base URL (must start with https://).
  3. Optionally enter the Patricia Browser URL.
  4. Click Save; the panel reloads with new settings.

Administrators: bulk pre-population via registry is not supported; each user completes these steps once.

6 · System Requirements
