In addition to the auto-save email functionality, there are additional efficiencies that can be leveraged by using the OCR engine plugin supported by Extended DMS. Recommended workflows that can take advantage of OCR are outlined below.
Paper Correspondence received by Post
Setup:
- Input ocr scan emails addresses into address book of scanner
- Configure scanner to allow user to select these ocr scan email addresses
- Configure each "ocr scan emails address" in the PAT_DMS_SETTINGS table.
Workflow in operation:
- User selects 'ocr scan email address'
- Scanner create PDF of incoming paper correspondence and sends to 'ocr scan email address'
- Extended DMS performs OCR, and if valid case reference is found, it is saved to the case.
- User reviews 'ocr scan email address', and checks all saved to case, manually saves any that were not, and moves to term entry/review phase.
Paper Correspondence received by Fax
Setup:
- Configure fax machine to deliver incoming faxes to a 'fax email address'
- Configure 'fax email address' as an ocr scan email address in the PAT_DMS_SETTINGS table.
Workflow in operation:
- Fax machine sends PDF of incoming fax to designated 'fax email address'
- Extended DMS performs OCR when emails arrive, and if valid case reference is found, fax is saved to the case.
- User reviews 'fax email address', and checks all saved to case, manually saves any any that were not, and moves to term entry/review phase.
